Checklist Guide

The checklist is your planning command center. It keeps track of every task you need to complete before your event, organized by category with due dates and progress tracking.

How the Checklist Works

Your checklist is a prioritized list of tasks, each with:

  • Title — A short description of what needs to be done.
  • Category — A grouping like “Venue”, “Catering”, “Decorations”, etc.
  • Due date — When the task should be completed by.
  • Status — Whether it is pending or completed.
  • Notes — Optional additional details or reminders.

Tasks are displayed in a clean, scannable list. Completed tasks are visually distinct so you can quickly see what is left to do.

Pre-Built Templates

When you create a new event, Dream Planner suggests a checklist template based on your event type. Templates give you a head start with common tasks already populated.

Wedding Template

Includes tasks like:

  • Book ceremony venue (12 months before)
  • Hire photographer (10 months before)
  • Send save-the-dates (8 months before)
  • Book catering (6 months before)
  • Order invitations (4 months before)
  • Final dress fitting (2 weeks before)
  • Confirm vendor arrivals (1 week before)

Birthday Template

Includes tasks like:

  • Choose a theme
  • Book the venue
  • Send invitations
  • Order the cake
  • Plan activities and games
  • Arrange decorations

Corporate Template

Includes tasks like:

  • Define event objectives
  • Set budget
  • Book conference room or venue
  • Arrange catering
  • Send invitations to attendees
  • Prepare presentations or materials
  • Test AV equipment

Tip: Templates are just a starting point. You can add, remove, or modify any task after the template is applied.

Adding Tasks

To add a new task to your checklist:

  1. Navigate to the Checklist tab of your event.
  2. Click Add Task or the + button.
  3. Fill in the task details:
    • Title (required) — What needs to be done.
    • Category — Select an existing category or create a new one.
    • Due date — When it should be done by.
    • Notes — Any extra details.
  4. Click Save.

The new task appears in your checklist, sorted by due date.

Editing Tasks

Click on any task to edit its details. You can update the title, category, due date, or notes at any time. Changes are saved automatically.

Completing Tasks

To mark a task as done, click the checkbox next to the task title. The task will be marked as completed with a visual indicator. You can uncheck it if you need to reopen it.

Reordering Tasks

Tasks can be reordered by dragging and dropping within the checklist. This uses a smooth drag-and-drop interface — grab the handle on the left side of a task and move it to a new position.

Due Dates and Overdue Tracking

Tasks with due dates are color-coded to help you stay on track:

  • Upcoming — Tasks due in the future appear in their normal style.
  • Due soon — Tasks due within the next few days are highlighted as a gentle reminder.
  • Overdue — Tasks past their due date are flagged in red so they stand out.

Tip: Set realistic due dates and check your checklist regularly. It is better to move a due date forward than to let tasks pile up as overdue.

Categories and Grouping

Categories help you organize related tasks together. Common categories include:

  • Venue
  • Catering
  • Decorations
  • Entertainment
  • Photography
  • Invitations
  • Attire
  • Transport
  • Accommodation

You can filter the checklist by category to focus on one area at a time. The checklist progress bar shows completion across all categories.
