Wedding Planning
Weddings are often the most complex events people plan. Dream Planner helps you manage every moving part — from the guest list and vendor lineup to the budget and timeline.
Step-by-Step Walkthrough
1. Create Your Wedding Event
- Sign in to Dream Planner at portal.dreamplan.sagargandecha.dev .
- Click New Event.
- Select Wedding as the event type.
- Enter your event name, date, and location.
- Save the event.
The wedding checklist template is automatically applied, giving you a head start with common wedding tasks.
2. Add Your Vendors
Navigate to the Vendors tab and add the suppliers you are considering or have already booked. Typical wedding vendors include:
| Vendor Type | Role |
|---|---|
| Venue | Ceremony and reception location |
| Photographer | Photos and/or video |
| Florist | Bouquets, centrepieces, ceremony flowers |
| Caterer | Food and drinks for the reception |
| Celebrant | Officiating the ceremony |
| DJ / Band | Music and entertainment |
| Decorations | Styling, lighting, props |
| Transport | Bridal car, guest shuttles |
| Attire | Dress, suit, hair, makeup |
| Stationery | Invitations, programs, signage |
Tip: Browse the vendor directory to find verified vendors. Send enquiries directly through the platform to keep all communication in one place.
3. Import Your Guest List
Go to the Guests tab. You can add guests manually or import a CSV file with up to 500 guests at once. For each guest, track:
- RSVP status
- Plus-ones
- Dietary requirements
- Special needs
- Table assignments
4. Manage Dietary Requirements
As RSVPs come in, the dietary summary automatically aggregates all requirements. Use this information when briefing your caterer.
Share dietary data with your caterer through the vendor permission matrix — toggle on “Dietary requirements” so they can see the latest information directly.
5. Set Your Budget
Open the Budget tab and add line items for each expense. Organise costs by category:
| Category | Typical AU Range |
|---|---|
| Venue | $5,000 – $15,000 |
| Catering | $8,000 – $15,000 |
| Photography | $2,500 – $6,000 |
| Flowers & Decorations | $2,000 – $5,000 |
| Entertainment | $1,000 – $3,000 |
| Attire & Beauty | $2,000 – $5,000 |
| Stationery | $500 – $1,500 |
| Transport | $500 – $1,500 |
| Celebrant | $500 – $1,200 |
| Miscellaneous | $1,000 – $3,000 |
| Total | $23,000 – $56,200 |
A typical Australian wedding budget falls in the $30,000 – $50,000 range, though this varies widely depending on location, guest count, and preferences.
Tip: Enter vendor quotes as estimated costs and update to actual costs once you have confirmed pricing. The budget summary shows you the gap between estimated and actual spending.
6. Track Vendor Quotes
As vendors send quotes, update each vendor’s status from Enquired to Quoted, and record the quoted amount in your budget. This lets you compare options side by side before confirming.
7. Use Contextual Vendor Suggestions
When you add vendors to a wedding event, Dream Planner suggests categories relevant to weddings. This ensures you do not overlook key vendors like a celebrant or florist.
8. Share Guest Data with Vendors
Use the permission matrix to share the right data with the right vendors:
- Caterer — Dietary requirements, headcount.
- Venue — Guest names, headcount, special requirements (accessibility).
- Photographer — Guest names (for group shots).
- DJ — Headcount, event schedule.
- Transport — Guest names, contact details, pickup schedule.
Wedding Planning Tips
- Start vendor research early — popular vendors book out 12+ months in advance.
- Use the checklist to pace your planning. Tackle high-priority tasks (venue, photographer) first.
- Update your budget regularly as quotes come in so there are no surprises.
- Share dietary data with your caterer early so they can plan menus.
