Step-by-Step Walkthrough
1. Create Your Corporate Event
- Sign in to Dream Planner at portal.dreamplan.sagargandecha.dev .
- Click New Event.
- Select Corporate as the event type.
- Enter the event name, date, and venue location.
- Save the event.
The corporate checklist template is applied automatically, with tasks tailored to professional events.
2. Add Vendors
Corporate events often have a focused vendor list. Common vendors include:
| Vendor Type | Role |
|---|---|
| Venue | Conference space, meeting rooms |
| Catering | Meals, morning tea, afternoon tea |
| AV / Tech | Sound, projectors, screens, lighting |
| Entertainment | Speakers, MCs, performers |
| Transport | Airport transfers, shuttle buses |
| Stationery | Name badges, programs, signage |
Browse the vendor directory to find verified suppliers, or add vendors manually if you have existing relationships.
3. Import Your Attendee List
Use the CSV import feature to quickly add your attendee list:
- Go to the Guests tab.
- Click Import CSV.
- Upload a file with columns for
name, email, phone, dietary, andnotes. - Review the import preview and confirm.
This is particularly useful for corporate events where you may have a pre-existing attendee list from your HR or events team.
4. Manage Budget by Category
Corporate event budgets often need to be tracked at the category level for internal reporting. Add budget items under the appropriate categories:
| Category | Typical AU Range |
|---|---|
| Venue hire | $3,000 – $10,000 |
| Catering | $3,000 – $8,000 |
| AV & Technology | $2,000 – $5,000 |
| Entertainment / Speakers | $1,000 – $5,000 |
| Transport | $500 – $2,000 |
| Printed materials | $300 – $1,000 |
| Miscellaneous | $500 – $2,000 |
| Total | $10,300 – $33,000 |
A typical Australian corporate event budget falls in the $10,000 – $25,000 range, depending on the type and scale.
Tip: Use estimated costs for initial budget approval, then update to actual costs as invoices come in. The budget summary gives you a clear view of any variance.
5. Assign Tasks with Calendar View
The checklist supports due dates for every task. Use the calendar view to plan your timeline:
- 8 weeks out: Confirm venue and catering.
- 6 weeks out: Lock in AV requirements.
- 4 weeks out: Send attendee invitations and finalise the program.
- 2 weeks out: Confirm final headcount with all vendors.
- 1 week out: Print materials, finalise seating.
- Day of: Final run-through and vendor coordination.
6. Track Vendor Confirmations
As you confirm vendors, update their status from Enquired to Quoted to Confirmed. The event overview shows you at a glance how many vendors are locked in and where there are gaps.
